Intake Coordinator, Communications

 

PRIMARY RESPONSIBILITIES:

Contract up to 2 years

 

Reporting to the Manager, City Marketing and Planning and as part of the Communications Division, the successful candidate will manage the intake of all work requests and provide business consultation for the assessment, triage and assignment of work requests for the Communications Division.

The successful candidate will also be responsible for the following:

  • Lead/conduct the business assessment, triage and assignment for client product/service requests.
  • Conduct business analysis of data reports produced by the division's work/project management solution and related benchmark and metrics analysis.
  • Monitor, measure and report on the performance, accountability, quality and effectiveness of the Division's intake services.
  • Lead/conduct consultative meetings with internal client representatives and appropriate divisional business leads to gather/clarify additional background information related to the service requests.
  • Lead and/or participate on project teams to review, develop and implement improvements to the division's intake management strategies.
  • Manage the documentation, standard operating processes and training elements of the work/project management solution for the Division

 

JOB SPECIFICATIONS:

  • Post-secondary degree or diploma in marketing, finance, business or communications, and a minimum of 5 years' related experience within a marketing and/or communications position.
  • Strong customer service skills to ensure excellence in providing thorough and high quality intake services to a diverse and broad range of clients on behalf of the division.
  • Effective planning and organizational skills to coordinate all consultation/facilitation requirements for and management of the intake approval process.
  • Demonstrated business analysis skills to conduct division intake demand analysis to determine trends/issues, client business needs and support management decision making.
  • Experience conducting intake management research studies to assess the effectiveness current intake processes, and to lead/support the planning and delivery of intake process design and development project initiatives.
  • Excellent written and verbal communication and interpersonal skills to provide consultation services to clients and division management/staff related to request assessments and the coordination of request approvals.
  • A proven track record demonstrating business and political acumen.
  • Ability to effectively handle multiple concurrent priorities and to work creatively and strategically under deadlines.
  • Knowledge and experience using project or portfolio management software applications.
  • Strong computer skills, including Microsoft Office, databases, spreadsheets (i.e. Excel) and presentation software to conduct research and prepare plans/reports.
  • A working knowledge and/or strong understanding of the municipal government process including issues and legislation is an asset.

 

 

 

Note:  This is a contract up to 2 Years

Hours of Work: 35 hour per week

Salary: $32.56 - $43.41 / Hour
